Please check this site daily during late registration if you wish to allow students to enroll late into your course. Note: It is entirely up to instructors to allow students to enroll late into their classes. You will need a username and a password. 1. Log on to the late admin tool daily. As soon as you accept students, the system will email them authorization codes and instructions on how to register. If more students than you want have requested to add late to your class, click on "accept" for as many students as you can handle (see the time stamp to accept them in the order requested) and then click on "reject" for the rest. Then, notify Foothill Global Access immediately to mark your course CLOSED on the web or students will think your class is open. Note: You will not get notified via email about late adds! You will have to go to the Late Registration Administration Center daily (during the late adds period), and as often as you want, to accept students. How the Late Registration Process Works:The student side: During the late registration period (first two weeks in the fall, winter, and spring, and one week in the summer), students can request permission to add to your class via the FGA web site. For information on the steps that students follow, please refer to this document directed to students. The teacher side: During the late registration period, you will be able to accept students who request permission to add, if you choose. Accepting students late is entirely up to the instructor. From the "Late Registration Administration" link (under the FGA faculty Center), you will be able to "accept" or "reject" students by clicking on a checkbox. The program will do the rest; it will send an acceptance or rejection type of email to students. The acceptance email will include the URL of the A & R official registration page AND an authorization code which will allow students to officially enroll in your course. The minute students get the acceptance email AND register, they are in the College official SIS system. The FOLLOWING morning, they will also be uploaded into Etudes. SOME WORDS OF CAUTION! DETERMINING LOADS! Just because you gave permission to students to add late (via the FGA web site), it does not mean that they will follow through and register officially in a timely manner--or EVER! [When you give a late add permit to traditional students, they don't always register; this is no different.] In the email, students are advised to register immediately. Therefore, loads should be determined by looking at the official roster at the end of the second week of the term, just like in traditional classes. By official roster, we mean the roster in the A & R SIS system (not in Etudes, not in MAUI (a day old), not on the FGA web site, not in your grade book, and not on your printed rosters). Keep these facts in mind and check the SIS (A & R) system regularly for an accurate count of how many students you have. To sum up, the A & R SIS system is the ONLY one that has your accurate roster, as it includes students who followed through and registered officially, AND it excludes students who chose to drop your class within the first two weeks of classes, AND it excludes students who could NOT add (despite your permit) due to lack of prerequisites or payment. OTHER IMPORTANT NOTES: Do not forward student emails (with requests or lists of students wishing to add) to Shawna Aced, Associate Registrar, or A & R. Direct students to the FGA web site to complete the official "request to add" form. A & R will direct students back to the web site. Please help us expedite the registration process for students.
